How to use the time card calculator
- Choose a 1-week or 2-week pay period.
- Enter clock-in and clock-out times for each day you worked. Leave days off blank.
- Type unpaid break minutes, for example 30 for a lunch break.
- Add your hourly rate to see pay. Pick the overtime rule that applies to you.
Shifts that end after midnight work too: if the clock-out time is earlier than the clock-in time, the calculator counts it as the next day.
How the hours are calculated
Daily hours = clock-out time − clock-in time − unpaid break. The weekly total is the sum of the daily hours. The result is shown in hours:minutes (8:30 means eight hours and thirty minutes) and in decimal hours (8.50), which is the format most payroll systems use.
How overtime is calculated
Under the US Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. Some states add daily overtime: California, for example, pays overtime after 8 hours in a day. Choose Over 8 a day + over 40 a week to apply both rules without counting any hour twice. Each week of a biweekly period is checked on its own, because overtime is based on the workweek, not the pay period.

How do I calculate hours worked in a week?
Subtract the clock-in time from the clock-out time for each day, subtract unpaid breaks, then add the days together. 9:00 AM to 5:30 PM with a 30-minute lunch is 8 hours a day, or 40 hours for 5 days.
What is 7 hours 45 minutes in decimal?
7.75 hours. Divide the minutes by 60 (45 ÷ 60 = 0.75) and add them to the hours.
Does the calculator handle overnight shifts?
Yes. If you clock out at a time earlier than you clocked in, for example 10:00 PM to 6:00 AM, it counts the shift as running past midnight: 8 hours.
Is overtime calculated per pay period or per week?
Per workweek under federal law. A biweekly pay period is two separate workweeks, so 45 hours in week one and 35 in week two still includes 5 overtime hours.
